Vacancy Announcement. Office Administrator at IWPR Armenia
The Institute for War and Peace Reporting Armenia Branch announces a full time Office Administrator position. All qualified candidates are welcome to apply. The incumbent will maintain efficient day-to-day operations. Working within a fast-paced, dynamic environment where a high volume of projects are handled simultaneously with tight deadlines, he/she will be the primary point of contact for all inquiries including financial issues.
Start Time: ASAP
Duration: Permanent with 3 months probation.
The Office Administrator will perform the following responsibilities:
- Coordinating office administration and HR related issues and tasks;
- Assisting IWPR Armenia Country Director;
- Handling and routing both incoming and outgoing correspondence;
- Creating, processing, and maintaining accurate and up-to-date documentation pertaining to all operations (work requisitions, invoicing, account statements, and safety compliance) and staff members (vacation allowances and travel claims, payroll for casual or temporary employees, purchase of equipment, etc.);
- Managing office equipment and consumables, including monitoring current inventory; re-ordering, expediting and sourcing office supplies; maintaining records of all purchases; and updating account statements;
- Managing bank transactions;
- Preparing and submitting both financial and narrative monthly, quarterly, annual reports;
- Other responsibilities related to the position;
- Preparing monthly, quarterly, annual estimates of expenditure, maintaining budgetary and inventory controls;
- Administrating office’s HR related tasks;
- Coordinating accounting and accountant related actions;
- Administrating all activities and events organized by the organization;
- Managing IWPR Armenia Facebook, Twitter and other social network pages, disseminating IWPR articles and other IWPR Armenia related content/updates;
- Performing IWPR Armenia PR activity;
- Archiving the organization related documentation in an organized and professional format;
- Performing good spirit and team work;
- Coorinating and implementing organzation's procurement
Required Qualifications:
- Master’s Degree or equivalent in Economics, Business Administration or other relevant discipline;
- Proficiency in Armenian and English and Russian;
- At least 3 years’ experience in NGO or media company;
- Strong analytical skills;
- Experience working with donors and local and international civil society organizations;
- Excellent command of Microsoft Office software, strong computer skills, knowledge of QuickBooks is a plus;
- Ability to work under pressure in a dynamic, deadline-driven, rapidly changing environment
