Vacancy - Diplomatic Estate Project Coordinator at Foreign and Commonwealth Office
The British Embassy in Yerevan is part of a worldwide network, representing British political, economic and consular interests overseas and is preparing for two major estate related projects in the coming months.
Phase 1 will comprise the preparation for an eventual move of our Ambassador to a new residence in central Yerevan. Phase 2 will be a significant renovation project for our embassy offices.
At this stage we are looking to recruit for an initial 4 months period (October 2016 – January 2017), for Phase 1 (the new Residence project).
The commencement and duration of Phase 2 (work on the embassy building) has yet to be confirmed but is likely to start in April / May 2017 and run for 9+ months (there is likely to be a gap between the end of Phase 1 and the beginning of Phase 2).
We are looking for a person with the necessary skills to coordinate these two separate but related projects, within specific timeframes. The successful candidate would be employed for the initial 4 months project and then dependent on satisfactory performance, would be employed at a later stage to oversee the embassy renovation.
The main purpose of this job is to co-ordinate the preparation of the Ambassador’s new Residence; and act as Embassy contact point on Embassy building renovation project. The job holder will have overall responsibility for the successful planning, execution, monitoring, control and closure of the project at hand. It is required to manage set of services delivered effectively within tight time scales to ensure all activities in the schedule are completed in time.
Reporting to the Corporate Services Manager you will have a strong track-record of delivering projects. A self-starter who is well-organised with inter-personal communication skills both in English and Armenian, you must show initiative and be able to find ways to best adapt to situations to provide a successful outcome.
Main responsibilities will include:
- Residence and Embassy setup including logistics, actual move in cooperation with local suppliers;
- Liaise with the Landlord, UK experts and suppliers regarding Residence and Embassy setup;
- Arrange move of furniture / possessions between old and new Residence; arrange reorganisation of furniture within refurbished Embassy;
- Supervise telecommunications installation including internet, landline and television in Residence in accordance with FCO H&S, IT standards;
- Act as a first point of contact for casual staff and suppliers, both UK and local. Assist UK colleagues (technical managers from other posts) during their visits and UK suppliers in planning technical works including plans and drawings review;
- Planning and supervision of redecoration works if required in order for new Residence to meet FCO H&S standards, liaise with the interior designer;
- Procurement of all necessary items as agreed with HM Ambassador and CSM to make new Residence more functional;
- Procurement of all the necessary items for the Embassy;
- Supervision of customs clearance and delivery of new furniture and all large incoming cargos;
- Report progress on projects;
- Perform any other tasks assigned by Corporate Services Manager.
- Excellent command of both English (both written and oral) and Armenian (native);
- Proven track record of working in and contributing to the success of a small team;
- University degree in relevant discipline or equivalent practical experience;
- Demonstrated good skills and experience in administrative, organizational and operational project works;
- Excellent interpersonal skills and the confidence and ability to communicate effectively with stakeholders at all levels;
- Excellent organisational and self-management skills in order to be able to work to tight deadlines;
- Up-to-date IT skills, including MS Office (Word, Excel, PowerPoint).
- Experience of working in real estate / property management sector.
This is a full-time position offering a temporary contract. Normal working hours are 35 per week, Monday to Friday, from 09:00 to 17:00. Due to the nature of this role flexibility is expected.
The monthly salary for this position is AMD 498,418 per month, grade A2.
The successful candidate will be subject to professional background and security clearance. The successful candidate must have pre-existing work authorisation for the Armenia in order to apply. The British Embassy does not sponsor work permits.
